SUMMARY:The Academic Program Coordinator will provide administrative oversight and support for the clinical programs. This position plays a key role in ensuring the effective operation and coordination of clinical education experiences in alignment with program goals and accreditation standards.&nbsp; In fulfilling these responsibilities, the Academic Program Coordinator is expected to uphold the South University philosophy: quality services to clients; development, growth, involvement, and recognition of employees; sound economic principles; and environment which is conducive to innovation, positive thinking and expansion is considered in carrying out the duties and responsibilities of this position.KEY JOB ELEMENTS:<ul><li>Assist program leadership in managing, administering, and coordinating the operations of the department.</li><li>Assist the Program Director in managing and forecasting the program’s expenses and budgetary needs.</li><li>Oversee event coordination for the program faculty, staff, and students including maintaining all up-to-date vendor invoices and documents.</li><li>Support the functions of the Admissions Committee including the planning, preparation, and set-up for applicant interviews, new student orientation, and graduation.</li><li>Support program assessment by coordinating with the departmental data coordinator to ensure timely and accurate processing and reporting of data related to accreditation.</li><li>Assist program leadership with coordination and implementation of departmental projects including the ongoing accreditation process and site visits as required.</li><li>Assist the program leadership and faculty in ensuring the completeness and accuracy of student data and documentation for graduation requirements in the student’s academic record while ensuring confidentiality.</li><li>Assist program leadership in development, review, and publication of marketing materials, flyers, handbooks, and newsletters.</li><li>Maintain and assist with SharePoint documents and the program website to ensure compliance with accreditation requirements.</li><li>Maintain all confidential program files according to accreditation standards.</li><li>Work with the program leadership to ensure timely publication of the quarterly course schedule for the students and the registrar.</li><li>Complete student course registration, coordinate data from various systems, and run relevant reports</li><li>Inventory and ensure timely ordering of supplies/replacements for all program laboratory equipment and disposables.</li><li>Perform routine clerical duties including filing, copying, typing, preparing agendas, and meeting minutes.</li><li>Answer telephones and direct inquiries as appropriate.</li><li>Greet visitors and direct them to appropriate destination.</li><li>Maintain program calendars, assist with travel arrangements as needed, and schedule meetings.</li><li>Participate in special projects as assigned.</li></ul>JOB REQUIREMENT:<ul><li>Associate’s Degree required; Bachelor’s or Master’s Degree preferred</li><li>1-2 years of progressive experience providing administrative support.</li><li>Experience scheduling conference calls and meetings.</li><li>Excellent communication skills, both verbal and written.</li><li>Strong interpersonal skills with student and staff populations.</li><li>Superior organization, prioritization, and self-motivation skills.</li><li>Strong computer skills. SUMMARY:&nbsp;&nbsp;Under general supervision of the Campus Director and Dean for Academic Affairs and Operations perform, coordinate and oversee campus administrative duties in support of the campus academic programs, campus and general administrative needs as defined in the job elements below. This position requires the ability to act confidentially, handle sensitive information and exercise independent judgment.&nbsp; Some technical knowledge of the specific area of assignment may also be required.KEY JOB ELEMENTS:&nbsp;<ul><li>Performs academic, campus and limited general administrative and clerical duties as assigned by the Campus Director &amp; Dean of Academic Affairs and Operations.</li><li>Collaborate with Vice Chancellors, Assistant Vice Chancellors, University Directors, College Deans and Department Chairs in carrying out the priorities of the University including but not limited to items pertaining to supporting programmatic accreditation and assessment reporting.</li><li>Maintains correspondence logs, files, information databases, and other tracking systems as necessary.&nbsp; Prepares Executive Committee, OPM, PACs, and other programmatic meeting minutes. Organizes programmatic meeting dates, meeting structure, and sends out agendas.&nbsp; Distributes Executive Committee weekly KPI updates to campus program leaders. </li><li>Ensure signage for classrooms, campus services and office spaces are clearly marked.</li><li>Create, distribute and collect faculty contracts, student files, and faculty files containing required programmatic documentation.</li><li>Assists with directing students with locating campus leaders, including directing them toward offices, phone, e-mail or classrooms.&nbsp; Ensure signage for classrooms, campus services and office spaces are clearly marked and accessible.&nbsp; </li><li>If requested by Campus Director, may provide new employees with on boarding information, such as tours and campus directories, office or cubicle accommodations, employee access badges; business cards, and ensure new hires have necessary equipment and accesses to assume assigned duties on day one.&nbsp; Maintain campus keys in coordination with the university Director of Facilities and Campus Director/Dean of Academic Affairs and Operations.</li><li>Ensure employee engagement and recognition activities are organized and occurring on a regular schedule, such as service awards, employee recognition and leading employee engagement committee work.</li><li>Responsible for onboarding of new hires.&nbsp; This includes I-9 completion and background check completion.&nbsp; Maintain all personnel files. </li><li>Responsible for all adjunct contracts and appointment letters.&nbsp; Ensures adjunct pay is calculated and submitted timely on the pay schedule.&nbsp; Responsible for all proctor scheduling, contracts and payments.</li><li>Responsible for monitoring all job postings for the campus and reviewing applicants for qualifications.&nbsp; Once qualified, responsible for sending to hiring managers and assisting with the scheduling of interviews. &nbsp;</li><li>Campus purchasing support for local service providers and suppliers.
