Supervision Exercised: None Job Summary&nbsp; Directs the planning, development and implementation of the Pipeline for the Advancement of The Healthcare Workforce (PATH) grant.&nbsp; Ensures grant goals and requirements are met, including recruitment, retention, and completion of students, timely submission of reports, and submittal of grant reports. Essential Duties and Responsibilities include the following.&nbsp; Related duties may be assigned.<ul><li>Responsible for the implementation and attainment of approved grant application programming and activities, goals, objectives, and outcomes.</li><li>Monitor performance and plan activities to ensure that grant is being implemented and established performance goals are being met.</li><li>Develop an annual budget, ensuring that funds received are spent efficiently, effectively and in accordance with grant guidelines.</li><li>In collaboration with the PATH institutional committee, identify and prioritize institutional needs that could potentially support PATH as defined by federal and state guidelines and in conjunction with the College strategic initiatives.</li><li>Develop and maintain reports related to PATH efforts and expenditures.</li><li>Monitor grant activities to ensure compliance with fiscal, regulatory, programmatic, and funding agency requirements.</li><li>Ensure accurate and timely submissions of grant reports and required documents.</li><li>Actively participate in the retention and recruitment of students and any other outreach to support grant goals.</li><li>Maintain appropriate documentation and records for all participants, and activities, events, partnerships, meetings, and other programming elements.</li><li>Perform all other duties as assigned including other related grants in connection to PATH grant.</li><li>Regular attendance is expected.</li><li>Utilize tact and courtesy to establish and maintain effective relationships with persons contacted in the course of work.</li></ul>Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.&nbsp; The requirements listed below are representative of the knowledge, skills, and/or abilities required.&nbsp; Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. &nbsp; Minimum Qualifications<ul><li>Bachelor's degree in a related discipline required.</li><li>Three to five years of experience in education, community service, public relations and/or program coordinating.</li><li>Must demonstrate experience with budget planning and management. Job Description:<h4>Senior Admissions Coordinator for Medical Education</h4>Department: Admission/Enrollment ServicesReports to:&nbsp; ADoA, DoA, SDoA, and/or an EADPosition Location: Chicago CampusFLSA: ExemptFull-Time, Staff<h4>Position Summary:</h4>The Senior Admissions Coordinator for Medical Education provides essential administrative and operational support to the Senior Director of Admissions and the admissions team in advancing the enrollment goals for the Illinois College of Osteopathic Medicine (Illinois COM) at The Chicago School. This role demands a high level of task orientation and attention to detail, ensuring that all processes run smoothly and efficiently. Key responsibilities include maintaining applicant records, coordinating campus tours and new student events, assisting with interview days, and managing admissions materials and data. The role also supports recruitment event logistics for senior staff and ensures compliance with AACOMAS and FERPA standards. This position is vital to delivering a professional and organized admissions experience.Admissions Representatives who are assigned to a specific campus as their primary location will have responsibilities on campus and their presence will be required at that campus location. The ability to work evenings and weekends is required, as is occasional domestic travel.<h4>Principal Duties:</h4><ul><li>Provide administrative and operational support to the Senior Director of Admissions and Admissions team members in carrying out admissions initiatives specific to the Doctor of Osteopathic Medicine (DO) Program</li><li>Assist in maintaining accurate applicant records and documentation, ensuring compliance with AACOMAS and institutional policies.</li><li>Plan and support on-campus events such as campus tours and new student event days, including logistics, scheduling, and coordination with faculty, staff, and student ambassadors.</li><li>Track and report on admissions event feedback to inform future planning and continuous improvement.</li><li>Support applicant interview days through preparation of materials, communication with interviewers, and day-of logistics.</li><li>Assist senior admissions team members with scheduling and booking their external recruitment events (e.g. college fairs, info sessions), but will not be the primary representative at these events.</li><li>Help manage inventory and ordering of admissions-related materials, supplies, and branded collateral.</li><li>Manage the Salesforce database effectively, ensuring accurate documentation, inquiry tracking, and strategic follow-ups.</li><li>Maintain organized and confidential student information, following FERPA regulations</li><li>Perform other duties as assigned.</li></ul><h4>Minimum Qualifications:</h4><ul><li>A bachelor's degree from an accredited college or university with 2 or more years of experience working in admissions or student services</li><li>Exhibited strong public speaking and interpersonal skills, with the confidence and professionalism to engage effectively with medical school applicants, as well as D.O., M.D., and Ph.D. faculty.</li><li>Demonstrated ability to work effectively and collaboratively in a team environment, contributing to shared goals and fostering positive working relationships.</li><li>A strong internal drive to excel, taking initiative, and pushing oneself to achieve the highest level of performance.</li><li>Computer skills including experience using customer relationship management systems and the ability to learn new systems quickly.</li></ul><h4>Preferred Qualifications:</h4><ul><li>Previous experience working at an Osteopathic or Allopathic Medical School is preferred.</li></ul>Compensation &amp; BenefitsThis opportunity is budgeted at $$50,000-$55,000 base compensation.
